Portsmouth Regional Hospital, a cornerstone of healthcare in New Hampshire and part of the HCA network, faced technological and operational challenges with an outdated SharePoint 2003 portal. This was a significant hurdle in maintaining the high standards of care and operational efficiency expected at one of the region’s largest employers and the only Level II Trauma Center on the Seacoast.

Challenge

The existing portal was underutilized due to its outdated infrastructure, complicating the distribution and management of vital policy and procedure documents. The hospital sought a modern solution that could automate their paper-based systems for policy and procedure management, ensuring that staff always had access to the most current policies, with an efficient review, approval, and archival process in place.

What We Did

Our response to these challenges was multifaceted. We started with a comprehensive cleanup, tune-up, and upgrade of their SQL server to lay a solid foundation. Then, we constructed a new SharePoint 2010 farm and meticulously migrated data from the outdated 2003 and intermediate 2007 versions to the new platform. We infused the portal with a fresh look that mirrored the hospital’s public website, enhancing user engagement. Recognizing the importance of user competence, we hosted webinars and on-site group training sessions for power users, stakeholders, and department heads, focusing on the distribution, approval, and lifecycle archival of policies and procedures. Our custom-developed SharePoint app for Policy and Procedure management featured version tracking, management reporting, and a user-friendly interface for policy searches, significantly streamlining the management process.

The Result

The introduction of the SharePoint 2010 portal and the Policy and Procedure app, named “PowerTalk,” transformed the hospital’s internal communications and document management systems. The new portal facilitated growth, enabling future technology integrations while providing a robust foundation for company-wide communication improvements. This solution not only enhanced the efficiency of policy and procedure management but also assured compliance through improved tracking and archival processes. The project’s success marked a significant leap forward in the hospital’s operational capabilities, setting a new standard for healthcare service delivery and administration.
