NYU Langone Health is one of the nation’s premier academic medical centers, distinguished by its trifold mission to serve, teach, and discover. The institution is renowned for its integrated academic culture devoted to excellence in patient care, education, and research.

Challenge

The medical center faced significant challenges with its IT infrastructure:

  • An outdated and sprawling 2007 SharePoint farm overloaded with third-party experimental software, necessitating a migration to SharePoint 2010.
  • Extremely large databases and complex third-party solutions that required careful handling.
  • The need for a more adaptable project management system to support non-project managers in handling less formal projects.

What We Did

Our approach to resolving these issues included:

  • Constructing robust three-tier development and production farms with clustered backend SQL to support both the upgrade and ongoing operations.
  • Initially acquiring Bamboo Solutions’ Project Central for the project management system, which was later determined to lack the necessary flexibility.
  • Rebuilding the project management system using a more customized set of Bamboo Solutions components to create a tailored Project Portfolio Management (PPM) application suited to the specific needs of the medical center.

The upgrades and new systems implemented at NYU Langone Medical Center led to:

  • A modernized SharePoint environment that streamlined their data architecture and removed inefficient third-party applications.
  • A custom-built project management application that provided:
    • A centralized project tracking database.
    • Standardized SharePoint workspaces for consistent document management across departments.
    • Enhanced issue and risk management capabilities.
    • Integrated project resource scheduling, task assignments, and progress tracking.
    • Financial integration with the medical center’s line of business accounting systems.
    • Portfolio-level milestone dashboards and project status reporting features that enabled effective communication with stakeholders.
    • A centralized employee resource pool to optimize resource utilization and forecasting.
    • Project approval processes aligned with enterprise business drivers.
