Hillsboro, Oregon, the fifth largest city in the state, has been utilizing SharePoint since the implementation of SharePoint WSS 3.0 in 2010. The city government sought to upgrade and consolidate their digital platforms to improve operational efficiency and data management.
Challenge
By 2015, Hillsboro embarked on migrating their existing SharePoint environment to a new SharePoint Foundation 2013 platform. Although data migration was initially successful, the project was not fully completed due to resource reallocations. This resulted in only select sites being migrated or developed anew, with many continuing to rely on outdated systems. In 2018, Hillsboro reached out to SimpleSharepoint to retire their old SharePoint servers and migrate all remaining data into a unified SharePoint 2013 farm with a SQL 2014 server backend.
What We Did
Our comprehensive services for the City of Hillsboro included:
- Constructing a new SharePoint 2013 farm to centralize data and operations.
- Incrementally migrating sections from the outdated 2010 and 2013 platforms to the new system.
- Designing a visually appealing user interface that mirrored the aesthetic of Hillsboro’s public website.
- Developing a new custom homepage and updating the site architecture to facilitate easy maintenance by city editors.
- Conducting targeted training for SharePoint editors and power users, equipping them with the skills needed to effectively manage department sites with minimal prior experience.
- Implementing robust search capabilities for file shares and master calendars that aggregate data from sub-departments.
- Establishing a wiki-based knowledge base to support various municipal departments.
The Result
The completion of this project delivered a modernized, responsive, and user-friendly SharePoint environment that significantly enhanced the operational efficiency of the City of Hillsboro. The new system not only streamlined data management and improved accessibility but also empowered the city staff with better tools for communication and collaboration. Additionally, SimpleSharepoint provided ongoing mentoring to ensure the portal continued to deliver optimal return on investment, enhancing the city’s ability to serve its community effectively.
