Task Attributes, Premium Licensing Boundaries, and Plan Standardization

Microsoft is expanding task metadata capabilities across Microsoft 365 by adding custom data tracking to Microsoft Planner.

Anyone who has typed a status code or a client name into a task title knows the problem. Specifically, reports built on task titles break the moment someone spells an entry differently. To resolve this tracking limitation, Microsoft introduces Planner Local Custom Fields. Rollout begins in late October 2026 worldwide with zero administrative setup required. Furthermore, these new fields integrate seamlessly with Planner’s existing compliance, security, and audit logging features.

Field Architecture and Supported Data Types

First, understanding field limits helps project managers design effective plan templates:

  • Field capacity: Users can configure up to 10 custom metadata fields per individual plan.
  • Supported field types: Supported data formats include Text, Number, Date, Yes/No, and Choice parameters.
  • Compliance integration: Created metadata fields automatically adhere to tenant Microsoft Purview compliance and auditing policies.

Licensing Split: Editors vs Read-Only Viewers

Second, IT administrators must evaluate license assignments before teams implement custom fields:

  • Planner Premium required for editors: Users who add, edit, or remove custom field values must hold a Planner Premium license.
  • Standard M365 read-only access: Users with standard Microsoft 365 licenses receive read-only access to custom fields without editing rights.
  • Role assignment checks: As a result, IT leads must verify that designated plan editors possess appropriate SKU assignments prior to deployment.

Action Plan for Project and Licensing Leads

To ensure project plans remain standardized and easy to manage, leadership teams should execute three key steps:

  • Audit user licensing: Map project team members to ensure plan editors hold Planner Premium licenses while casual users maintain read-only views.
  • Standardize field sets: Work with project leads to define a short, consistent set of custom fields per plan type.
  • Establish quarterly field reviews: Revisit field usage every quarter to prune unused parameters and maintain clean project boards.

How our team supports your work management strategy:

  • License Optimization: We map team members who edit fields against those who only require read-only visibility to save licensing costs.
  • Custom Field Architecture: We work with your project leads to build lean, standardized field definitions across all project plans.
  • Quarterly Plan Audits: We review field usage trends each quarter to eliminate unused attributes and preserve data hygiene.
