Microsoft is introducing an automated lifecycle policy for newly created Planner meeting plans.
Starting in early October 2026, Microsoft automatically deletes Planner meeting plans generated from Teams meetings after 180 days without task activity. Specifically, this lifecycle policy applies strictly to newly created meeting plans. Existing plans created prior to rollout remain excluded from automatic deletion.
Automated Lifecycle Timeline and Warning Schedule
First, the lifecycle policy enforces a strict progression of notifications, deletion, and recovery milestones:
- Day 150: The meeting organizer receives an initial warning email regarding plan inactivity.
- Day 173: The system sends a follow-up warning email to the organizer if no task updates occur.
- Day 180: The system deletes the plan and its associated Planner data.
- Days 181 to 210: However, tenant administrators retain a 30-day window to restore the plan upon request.
- After Day 210: As a result, deletion becomes permanent, and admins cannot recover data.
Activity Metrics and System Behavior Rules
Second, understanding what constitutes valid activity helps prevent unintended data loss:
- Task activity criteria: Simply opening or viewing a plan does not reset the timer. Therefore, only creating, editing, or deleting a task resets the 180-day clock.
- Manual extension options: Selecting the “Keep plan” option inside notification emails adds another 180 days to the plan lifecycle.
- Loop and notes persistence: In addition, associated tasks stored in Loop components and Teams meeting notes stay completely intact.
