NYC Health & Hospital Corp. (NYC HHC) operates a network of 11 community hospitals, including notable institutions such as Bellevue Hospital Center, Coney Island Hospital, and Jacobi Medical Center. These hospitals collectively manage multiple SharePoint farms that are essential for their day-to-day operations.

Challenge

NYC HHC faced significant challenges due to the sprawling nature of their SharePoint infrastructure, which included dozens of content databases and hundreds of sites across multiple farms. The primary objectives were to migrate all systems to a newer SharePoint version without data loss and consolidate these farms into a centralized management system to streamline operations and enhance database management practices.

What We Did

Our comprehensive approach included:

  • Evaluating Existing Systems: We assessed each farm for third-party components, .NET code, patch levels, and database health.
  • Pre-Migration Planning: Developed a consolidation matrix for all 2007 farms, ensuring zero downtime as these were all in active production.
  • Central Testing Farm: Established a centralized testing farm where SharePoint admins could migrate their databases for testing and remediation.
  • Building Interim and Production Farms: Constructed multiple test, sandbox, and staging farms in both SharePoint 2007 and 2010 versions. A complex, centralized production farm was also developed, featuring advanced infrastructure setups such as physical load balancers and SQL clusters.
  • Streamlined Migration Process: Managed the migration process meticulously with detailed coordination among various hospital departments and technical teams.

The Result

The migration project successfully consolidated the disparate SharePoint 2007 farms into a single, robust SharePoint 2010 farm. This new setup not only enhanced the security and redundancy of the system but also optimized database management across the board. The result was a highly efficient platform that supported improved communication, collaboration, and document management across all hospitals within the NYC HHC network. The project also eliminated redundant databases and balanced SharePoint services across the newly established farm, ensuring optimal performance and reliability.
