Patriot, with its rich legacy in workers’ compensation risk management through Guarantee Insurance Company and Patriot Underwriters, Inc., faced a challenge. As they grew, their internal systems, particularly for tracking insurance agreements, could not keep pace, leading to inefficiencies and potential inaccuracies that threatened their operations.

Challenge

Patriot’s rapid expansion highlighted the limitations of their existing infrastructure, reliant on complex Excel spreadsheets for tracking insurance agreements. This setup made it difficult to monitor the agreement process, ensure all necessary approvals and documents were collected, and introduced the risk of errors from manual data re-entry.

What We Did

Leveraging the previously established SharePoint 2010 farm, we embarked on a comprehensive project to streamline Patriot’s workflow. This included creating an InfoPath form to manage each step of the insurance agreement process, implementing SharePoint Designer Workflows for process automation, and setting up custom Word templates for error-free document generation. The solution encompassed four major components: Approval Form, Program Agreement Creation, Program Agreement Approval, and Due Diligence and Document Tracking, each designed to enhance process efficiency from start to finish.

The Result

The initiative not only clarified the process, reducing redundancies and simplifying workflows, but also cut the overall process time by 50%. The new system allowed for a clearer view of the agreement’s status, automated critical document generation, and provided comprehensive dashboards and document management features. This successful overhaul was further supported by a SharePoint Managed Services agreement, ensuring ongoing optimization and support, illustrating the transformative power of targeted technological solutions in addressing complex business challenges.
